Your Best Hours Are Your Worst Hours for Answering
A plumber cannot answer a phone. Not really. You are under a house, in a ceiling cavity, holding a fitting in place, or your gloves are wet and your hands are full. The phone is in the van or in your back pocket buzzing against a wall stud. By the time you are somewhere you can talk, the call is over and the missed-call notification is one of four.
The cruelty is that the calls arriving during those hours are the good ones. Someone with water coming through a ceiling is not shopping around on price and is not going to wait for a callback. They are working down the list of plumbers their search gave them, and the job goes to whoever picks up. Widely cited industry figures put the share of callers who will not leave a voicemail at around three quarters, and anyone who has run a trade phone recognises the number even without the research.
What makes it hard to act on is that a missed call leaves no evidence. It does not appear in your job list, your invoicing or your end-of-month figures. There is no angry review, because the person never became a customer. You simply never find out about the hot water cylinder in Glen Eden or the burst pipe in Papatoetoe. The revenue was real, the loss is silent, and that is exactly why most plumbing businesses underestimate it.
What It Handles on a Plumbing Line
Plumbing calls are not all emergencies and they are not all bookings. Syntalia is set up for the ones that actually come in.
The genuine emergency, triaged properly
Burst pipe, no water, sewage backing up, water through a ceiling. The AI recognises urgency, takes the site address and what is happening, tells the caller what your after-hours call-out costs, and reaches you the way you have told it to. You decide what counts as urgent enough to interrupt you.
The fault that can wait until morning
Dripping tap, running toilet, low pressure in one shower. Instead of a voicemail you return two days later, the caller gets a proper answer and a booked slot for the next working day, with the fault written up so you arrive knowing what you are looking at.
Hot water cylinder calls
The single most common call worth real money, and the one most often lost. The AI establishes whether it is electric, gas or a heat pump, whether it is leaking or just cold, roughly how old it is, and where the property is, so you can quote or schedule without a diagnostic phone call you never had time to make.
"How much do you charge to come out?"
It quotes your actual call-out fee, your hourly rate and your after-hours loading from your own numbers. No guessing, no promising a figure you would not honour, and no caller left thinking you were dodging the question.
"Do you come out to my area?"
It knows your travel zones and answers plainly. That saves you a drive you were never going to take, and saves the caller from waiting on a quote that was never coming.
Property managers and landlords
Repeat, higher-volume work with its own rhythm: a tenant contact, an access arrangement, an approval limit, an invoice going somewhere other than the site. The AI captures all of it in the job notes rather than leaving you to chase the details later.
The calls that are just noise
Merchants chasing orders, wrong numbers, sales calls, someone asking whether you do gasfitting when your website says so. These are a bigger share of a trade phone than most operators realise, and the AI handles them without you ever knowing.
Where the Job Actually Lands
An AI receptionist that cannot get the job to you is just a more expensive message pad.

Already on another system?
Trade job management platforms are systems we fit around rather than vendor integrations we claim. The call is captured and the job handed over the way your business already takes work on, whether that is your calendar, your inbox, or straight into your job list. Tradify and Fergus were both built in New Zealand, the same market Syntalia is tuned for. Tell us what you run and we will confirm exactly how the handover works for your setup.

After Hours Is a Business Decision, Not a Sacrifice
Most plumbers end up with one of two after-hours policies, and neither is chosen so much as defaulted into. Either the phone diverts to voicemail at five and the emergency work goes to someone else, or it rings your personal mobile all night and you pay for it in sleep and in the goodwill of everyone you live with.
An AI receptionist lets you pick something in between and actually stick to it. You set the rules: a genuine emergency with water going somewhere it should not reaches you immediately, any hour. A quote request at nine at night gets a helpful, accurate answer and a booked slot for the next working day. A dripping tap gets triaged as a dripping tap. You sleep, and you still keep both jobs.
The point is not to keep you off the phone. It is to make sure the calls that do reach you are the ones genuinely worth stopping work for, and that everything else has already been handled properly rather than parked in a voicemail box.
It Answers Like Someone Who Works for You
The difference between an AI receptionist that helps and one that annoys your customers is entirely in the setup. A generic system answers generically, and callers can tell within a sentence. So before it takes a single call we load it with your material: the work you do and the work you turn down, your call-out fee and hourly rate, your after-hours loading, the suburbs you travel to and the ones you do not, your hours, whether you do gasfitting or drainlaying or backflow, and your deposit and cancellation terms.
It is also tuned for how people here actually speak. New Zealand and Australian accents, local suburb and street names, and the words a caller genuinely uses on the phone: the cylinder has gone, the hot water is cold, the loo is blocked, there is water coming through the ceiling. Overseas voice AI mishears exactly these things, and that is the single most common reason a Kiwi operator tries one and gives up.
You can hear every call and read every transcript, so as you learn what your callers actually ask, you can change what the AI says. It gets better at answering your phone specifically, which is not something a call centre working across two hundred businesses can offer you.
Plumbers Voice AI Questions
Can an AI receptionist handle an emergency plumbing call?
Yes, and triage is the part that matters. The AI establishes what is actually happening, where the property is, and whether water is going somewhere it should not, then follows the rules you set. Genuine emergencies can reach you immediately on your mobile, at any hour. Anything that can wait gets an accurate answer and a booked slot for the next working day. You decide where the line sits, and you can move it.
Will it know my call-out fee and hourly rate?
It quotes your real numbers, because we load them in before it takes a call: call-out fee, hourly rate, after-hours loading, minimum charge, and anything you handle differently. It will not invent a figure and it will not dodge the question, which is what callers actually resent. If a job is genuinely too complex to price on the phone, it says so and books the site visit instead.
Does it work with Tradify or Fergus?
Syntalia works alongside both. Every call produces a clean job record, with the customer, the site address, the fault, the urgency and the slot booked, and that reaches you the way you already take work on. To be precise about what is a shipped connector: bookings are written directly into Google Calendar today, while Tradify, Fergus, ServiceM8, simPRO and AroFlo are platforms we fit around rather than vendor integrations we claim. Both Tradify and Fergus were built in New Zealand. Tell us what you run on the demo call and we will confirm exactly how the handover works.
What if the caller wants to talk to me, not an AI?
It puts them through, on the rules you set. Typical triggers are a caller who asks for a person directly, a genuine emergency, a complaint, or a job outside anything the AI has information about. Most callers do not ask, because what they actually want is for someone to pick up, answer the question and book the job, and they get that in under a minute.
I am a one-man band. Is this overkill?
Sole operators usually get the most out of it, because you are the person who cannot answer. A larger outfit has someone in an office; you have a phone in a van. The AI is the office you do not have, and it costs a fraction of a part-time administrator without the management that comes with hiring one.
Do I have to change my phone number?
No. You keep the number on your van, your shirts and your listings, and we point it at the AI. You can route every call to it, or only after hours, or only when your line is already busy, whichever fits how you work now. Nothing you have already advertised has to change.
How long until it is answering my phone?
Minutes to go live once we have your information, and there is no hardware and nothing to learn. We load your services, rates, call-out zones, hours and policies, connect your calendar, and point your number at it. Everyone starts with a free demo and a pilot, so you can count the jobs it captures on your own line before committing to anything.
