The Enquiries Are Worth Too Much to Miss
A building enquiry is not a two hundred dollar service call. A bathroom renovation, a deck, an extension, a new build: these are jobs worth tens or hundreds of thousands of dollars, and a meaningful share of them start as a single phone call from someone who found three builders and is ringing all three. Being second to answer is often the same as not answering.
Meanwhile a building site is the worst possible environment for a phone. There is a saw running, you are on scaffolding, you are in a conversation with a subcontractor or an inspector, or you are simply somewhere you cannot hear a ring. The calls also arrive at the times you are least available: during the working day when you are on the tools, and at weekends when homeowners finally have time to think about the renovation they have been putting off.
What makes it worse for builders than for most trades is the length of the sales cycle. A homeowner ringing about an extension is at the very start of a process that might run six months. If they cannot reach you, they do not try again later; they simply build the relationship with whoever picked up, and by the time you would have followed up they are already well advanced with a competitor. The job was decided in the first thirty seconds of a call you never took.
What It Handles on a Building Line
Building calls need qualifying more than they need answering. Syntalia is set up to do both.
New enquiries, properly qualified
What the job actually is, the property type and location, rough scope, whether there are plans or consent yet, the timeframe they have in mind, and whether they are the decision maker. That gets you an enquiry worth reading rather than a name and number with no context.
Renovations and extensions
The bread and butter, and the calls most likely to be lost. The AI captures the room or area, whether structural work is involved, whether they have engaged an architect or designer, and books the site visit while they are still enthusiastic rather than three days later.
The ones that are not a fit
Jobs too small to be worth your time, work you do not take on, areas outside your range, or a budget that will not reach. The AI declines these politely and clearly using your criteria, which saves you the awkward callback and the wasted site visit.
Subcontractors and suppliers
A subbie confirming a start, a merchant chasing a delivery, a question about site access. Captured accurately and passed on, so the message is not something you half-remember from a call taken on a roof.
Existing clients wanting an update
Mid-project calls asking where things are at, when the next trade is on site, or about a variation. These interrupt you constantly and rarely need you personally. The AI logs them and answers what it can from what you have told it.
Councils, inspectors and certifiers
Inspection bookings and consent queries, captured with the reference numbers and dates intact rather than scribbled on a timber offcut.
The calls that are just noise
Cold sales calls, recruiters, wrong numbers, people asking whether you do something clearly outside your trade. Handled without reaching you.
Where the Enquiry Actually Lands
A qualified enquiry is only worth something if it reaches you while it is still warm.

Already on another system?
Trade and construction job management platforms are systems we fit around rather than vendor integrations we claim. The call is captured and the enquiry handed over the way your business already takes work on. Tradify and Fergus were both built in New Zealand, the same market Syntalia is tuned for. Tell us what you run and we will confirm exactly how the handover works for your setup.

Qualifying Is Worth More Than Answering
For most trades the value of an AI receptionist is that the phone gets answered. For builders there is a second, larger benefit: the enquiries that reach you are pre-sorted. The real constraint for a builder is not usually leads, it is time, and the most expensive thing you do is drive across town to quote a job that was never going to happen.
So the AI asks the questions you would ask if you had the time and the patience to ask them every time. Do they have plans or a consent. Is there a designer or architect involved. What is the timeframe. Is this a repair, a renovation or a new build. Is the person on the phone the one making the decision. Have they got a budget range in mind, and does it bear any relationship to the work they are describing.
The result is that your site visits go to the enquiries most likely to convert, and the rest get an honest answer immediately rather than a quote you resented preparing. Over a quarter that is a substantial amount of your own time returned, which for a builder is the scarcest thing there is.
Weekends Are When Homeowners Ring
Domestic building enquiries follow the homeowner, not the builder. People think about the extension on a Saturday morning, walk around the house talking about the kitchen on a Sunday, and ring builders while the conversation is still live. Monday to Friday between eight and five is when they are at their own jobs.
That means a builder who only answers during working hours is systematically absent for a large share of the highest-value enquiries of the week. Voicemail does not save it, because the homeowner is ringing three builders in one sitting and will have booked two site visits before you listen to the message on Monday.
An AI receptionist answers the Saturday call, qualifies it properly, and puts a site visit in your calendar for the following week. You did not work the weekend and you are not third in line. That is usually the single clearest return for a building company, and it is why we suggest starting the pilot with weekend coverage even if you leave weekdays alone at first.
It Answers Like Part of Your Business
Before it takes a call we load it with your material: the work you take on and the work you do not, whether you do new builds or renovations or both, the areas you work in, your rough lead time, whether you handle design and consent or work to supplied plans, your minimum job size, and how you prefer enquiries to reach you. Callers get your answers rather than a generic script.
It is tuned for New Zealand and Australian English, including local accents, suburb and street names, and the vocabulary callers actually use about building work. That local tuning is the practical difference between an AI that sounds like it works for you and one that sounds like an overseas call centre, which is what most homeowners have learned to distrust.
Every call is recorded and transcribed, so you can hear exactly how your enquiries are being handled and adjust the questions it asks. Most builders change the qualifying script two or three times in the first month, once they see which answers actually predict a job.
Builders Voice AI Questions
Can an AI receptionist qualify a building enquiry properly?
Yes, and for builders that is the main point rather than a side benefit. It asks the questions you would ask given time: what the job is, the property and location, whether plans or consent exist, whether a designer is involved, the timeframe, the decision maker, and a budget range. You get a written, structured enquiry instead of a missed call, and you can change the questions once you see which answers actually predict a job.
Will it turn away work I would have taken?
Only if you tell it to, and the criteria are yours. You set the minimum job size, the areas you cover, and the work you do not take on. Anything ambiguous is captured and passed to you rather than declined, because a borderline enquiry is worth thirty seconds of your judgement. You can also listen to any call where you disagree with the outcome and adjust the rules.
Does it work with Tradify or Fergus?
Syntalia works alongside both. Every call produces a structured enquiry record with the contact, the site, the scope, the timeframe and any visit booked, and that reaches you the way you already take work on. Being precise about connectors: bookings are written directly into Google Calendar today, while Tradify, Fergus, ServiceM8, simPRO and AroFlo are platforms we fit around rather than vendor integrations we claim. Tell us what you run on the demo and we will confirm the handover.
What about mid-project calls from existing clients?
Those are often the most disruptive calls of the day and the least likely to need you personally. The AI can answer routine progress questions from information you keep current, log anything it cannot answer with the detail intact, and put a client through when it genuinely warrants you. Most builders find this alone changes how a working day feels.
Our enquiries are complicated. Can an AI really handle them?
It is not trying to design the job on the phone. It is capturing the enquiry accurately, answering the questions that have known answers, being honest about what needs a site visit, and getting that visit booked. The complicated part stays with you, which is where it belongs. What it removes is the possibility of the enquiry never reaching you at all.
How much does it cost for a building company?
Pricing is per business, as a flat monthly figure based on your call volume and which systems you connect, rather than per call. Given a single renovation enquiry is usually worth many multiples of the monthly cost, the arithmetic tends to be straightforward for builders, but we would rather you proved it than took our word. Everyone starts with a free demo and a pilot.
Do I have to change my phone number?
No. You keep the number on your signage, your vehicles and your listings, and we point it at the AI. Route everything to it, or only weekends and after hours, or only when your line is busy. Weekend-only is a good place to start for a building company.
How long does it take to get going?
Minutes to go live once we have your information, with no hardware and nothing for your crew to learn. We load your services, areas, criteria, lead times and policies, connect your calendar, then point your number at it. The pilot is free so you can measure what it captures before committing.
