Voice AI for Hotels

Your Front Desk Sleeps. Your Phone Line Should Not.

Voice AI that answers every hotel call around the clock, checks availability, quotes rates, and takes the direct booking instead of sending the guest to an OTA.

The Calls You Miss Are the Ones Worth Most

Hotel phone demand does not follow hotel staffing. Roughly 41% of accommodation booking enquiries arrive outside standard business hours, with a pronounced spike between 8pm and midnight when people sit down and plan travel. Most properties in New Zealand and Australia do not staff a front desk through that window, and smaller motels and lodges do not staff one overnight at all.

A missed direct call is worse than a missed table booking, because the guest almost never gives up on the trip. They just book it somewhere you pay for. They go to an OTA and you hand over 15% or more of a reservation that was, moments earlier, coming to you commission free.

Then there is the daytime version of the same problem. Your one person on reception is checking in a family, and the phone rings, and the caller asks whether you have parking. That call is either an interruption to a guest standing in front of you or a call that rings out. Neither is good, and both happen every day.

Our front desk isn't manned 24/7. Syntalia handles late-night check-in queries and room availability effortlessly.

What It Handles on a Hotel Line

Accommodation calls split roughly into new business and existing guests. The AI is trained on both.

1

Availability and rate enquiries

The caller gives dates and party size, and the AI answers from the rates and availability rules you have given it, including minimum stay and seasonal pricing. Where a live connection to your system is in place it works from that instead.

2

Direct bookings

It takes name, contact details, dates, room type and any requirements, then delivers the reservation to your team and calendar with everything attached. A booking taken here costs you no commission.

3

After-hours and late arrival

Guests calling at 11pm about a late check-in, key collection or access code get an answer instead of a recorded message, which is the single most common source of bad reviews for unstaffed properties.

4

Room, facility and policy questions

Parking, wifi, pets, cots, accessibility, breakfast times, checkout, whether the spa is open. These are the bulk of daytime call volume and almost none of it needs a human.

5

Local recommendations

Where to eat, how far to the airport, what to do on a wet day. The AI answers from what you tell it about your area, which keeps the advice accurate and on brand.

6

Modifications and cancellations

Extending a stay, changing dates, cancelling within policy. The AI captures the change and passes it to your team immediately, so nothing sits in a voicemail box overnight.

Fits Around Your PMS and Channel Manager

Bookings are delivered into your calendar and to your team with every detail attached, so nobody has to chase the caller for information.

The Direct Booking Argument

Every accommodation operator in this part of the world is running some version of a direct booking strategy: a best rate guarantee, a booking engine, a loyalty offer, paid search on your own brand name. All of it is an attempt to intercept a guest before an OTA does.

An unanswered phone quietly undoes that work. The guest who calls you directly has already chosen you and already bypassed the OTA. They are the cheapest booking you will get all week. Letting that call ring out and pushing them back to a channel that charges commission is the most expensive small failure in the business.

Built for New Zealand and Australian Properties

The AI is tuned for New Zealand and Australian English, and it handles the specifics that trip up voice systems built for the United States market: local place and suburb names, NZD and AUD rates, and the time zone your property actually runs on.

That includes the Australian daylight saving split, which matters more than it sounds for a phone line. Sydney and Melbourne shift and Brisbane does not, so a group with properties across the east coast has three months a year where the same clock time means two different local times. The AI works from each property configuration rather than one head office assumption.

Hotels Voice AI Questions

Can it quote accurate rates, including seasonal pricing?

Yes. Your rate structure, seasonal pricing and minimum stay rules go into the knowledge base, and the AI quotes from those rather than guessing. Rates are yours to update whenever they change. If you want it reading live pricing straight from your PMS or channel manager instead, raise it on the demo and we will talk through what that takes for your specific system.

Will it overbook the property?

It works to the availability rules you set, and it can be configured to capture a booking request for your team to confirm rather than committing a room outright. That is the usual setup for properties without a live inventory connection, and it means the final say on a room stays with you.

What about existing guests calling from their room?

Internal calls can route differently from external ones. Most properties send in-house requests, such as extra towels or a late checkout, to staff or a task system, and use the AI for the external line where new business and after-hours enquiries arrive.

We are a small motel with no night staff. Is this overkill?

It tends to be the opposite. Properties with the thinnest staffing get the clearest return, because the alternative is not a slower phone answer, it is no answer at all between roughly 8pm and 7am. That window is where a large share of booking enquiries land.
